Important: EAssist PH is an independent online appointment assistance service and is not affiliated with, endorsed by, or connected to any Philippine government agency — including but not limited to NBI, PNP, PSA, DFA, or PRC.

Independent Service Provider

EAssist PH operates as a private, third-party facilitation service. We assist clients in navigating online government portals and booking appointments on their behalf. We do not represent, act as an agent of, or hold any official authorization from any government body.

Official Portals Only

All transactions, bookings, and document requests are processed exclusively through official government websites and portals (e.g., nbi.gov.ph, psa.gov.ph, npcs.gov.ph). EAssist PH does not operate or maintain these platforms.

No Guarantee of Government Action

While we work diligently to secure appointments and complete requests, EAssist PH cannot guarantee specific appointment dates, slot availability, or government processing timelines. These are entirely controlled by the respective government agency.

Accuracy of Information

We rely on information provided by the client. EAssist PH is not liable for failed or rejected government transactions resulting from incorrect, incomplete, or fraudulent client-submitted information.

Government Fees

All government-mandated fees (NBI fee, PSA fee, PNP fee, etc.) are separate from and independent of EAssist PH's service fee. Government fees are payable directly to the respective agency and are subject to change without notice from EAssist PH.

Privacy Policy

EAssist PH is committed to protecting the privacy and personal information of our clients in accordance with the Philippine Data Privacy Act of 2012 (Republic Act No. 10173).

Information We Collect

  • Full legal name, date of birth, and civil status
  • Contact details: email address, mobile number
  • Government-issued ID information (as required by the relevant agency)
  • Delivery address (for PSA document delivery)
  • Payment reference numbers (not full card/account details)

How We Use Your Information

  • To process and book your government appointment or document request
  • To communicate appointment confirmations, updates, and reference numbers
  • To verify your identity and prevent fraudulent transactions
  • To comply with applicable laws and regulations

Your payment details are processed securely through PayMongo, a BSP-regulated payment gateway. EAssist PH never stores your full card number, bank account details, or GCash/Maya credentials.

Data Sharing

EAssist PH shares your personal information only with:

  • Relevant government portals (NBI, PSA, PNP, etc.) strictly for transaction processing
  • PayMongo and other BSP-regulated payment processors for payment verification
  • Courier services (for PSA document delivery only)

We do not sell, rent, or share your personal data with third-party marketers or advertisers.

Data Retention

Client records are retained for a minimum of two (2) years for transaction audit purposes and then securely disposed of. You may request deletion of your data (subject to legal retention obligations) by contacting us directly.

Your Rights Under the Data Privacy Act

  • Right to access — Request a copy of the personal data we hold
  • Right to correction — Have inaccurate data corrected
  • Right to erasure — Request deletion subject to legal limitations

EAssist PH provides online appointment assistance and document request facilitation for select Philippine government transactions. The following defines the exact scope of services rendered.

Coverage

EAssist PH serves clients nationwide across the Philippines. Services are rendered fully online; clients do not need to visit our office.

Not Within Scope

  • Legal advice, document authentication, or notarization
  • Representation at government offices or hearings
  • Guaranteeing document authenticity beyond what the issuing agency provides
  • Processing transactions that require in-person biometric capture
  • Transactions not listed on our website's service menu

EAssist PH acts as your online assistant — we navigate the government portal on your behalf using the information you provide. The client retains full responsibility for the accuracy of submitted documents and appearing at scheduled appointments.

Payment Terms

  • GCash (via QR code)
  • Maya (formerly PayMaya)
  • Credit cards and debit cards (Visa, Mastercard)
  • Other e-wallets supported by PayMongo

All transactions are processed through PayMongo, a Bangko Sentral ng Pilipinas (BSP)-regulated payment gateway. EAssist PH does not store card or wallet credentials.

Payment Timing

Full payment is required upfront before EAssist PH begins processing your request. No request will be processed without confirmed payment. Your request is officially queued only after successful payment confirmation.

Government fees are set by the respective agencies and are subject to change without prior notice. In the event of a government-mandated fee change, clients will be informed before processing begins.

Failed or Disputed Transactions

If payment is unsuccessful or disputed by the client's bank or e-wallet, EAssist PH reserves the right to suspend processing until payment is confirmed. Clients are responsible for any additional transaction fees charged by their bank or payment provider.

Invoices & Receipts

A payment confirmation is automatically sent to the email address provided upon booking. Official receipts or invoices may be requested via our Facebook page or email within 30 days of the transaction date.

Section 05

Refund Policy

EAssist PH's service fee covers the labor and time spent processing your request. Refundability depends on the stage of processing at the time of the request.

Refundable Scenarios

  • Full Refund — Request cancelled by the client before processing begins
  • Full Refund — Transaction failed due to an error on EAssist PH's part
  • Gov't Fee Refund Only — Government portal cancels the appointment on their end

Non-Refundable Scenarios

  • No Refund — Processing has already been initiated (appointment booked or order submitted)
  • No Refund — Client fails to appear on the scheduled appointment date
  • No Refund — Appointment failed due to incorrect information provided by the client
  • No Refund — Client changes their mind after EAssist PH has already processed the request
  • No Refund — Government denies or rejects the clearance/document based on client's own records
  • No Refund — PayMongo or payment processor transaction fees (non-recoverable)

Rescheduling

Rescheduling is subject to slot availability on the government's portal. If a reschedule is possible, EAssist PH will assist at no additional service fee. However, any additional government fees incurred during rescheduling are the client's responsibility.

How to Request a Refund

  1. Contact EAssist PH via our official Facebook page or email within 7 calendar days of the transaction date
  2. Provide your reference number and reason for the refund request
  3. Refunds (when approved) are processed within 5–10 business days back to the original payment method

Limitation of Liability

To the maximum extent permitted by applicable Philippine law, EAssist PH's total liability to any client for any claim arising from or related to our services shall not exceed the total amount paid by the client for the specific transaction in question.

EAssist PH is Not Liable For:

  • Actions, delays, errors, or decisions made by any government agency (NBI, PSA, PNP, DFA, PRC, etc.)
  • Slot unavailability or sudden portal maintenance by government websites
  • Delays in government document issuance, mailing, or courier delivery
  • Denial of clearances, certificates, or appointments due to the client's own records
  • Loss of income, missed deadlines, or consequential damages arising from appointment delays
  • Technical outages, downtime, or errors on third-party platforms (PayMongo, government portals, courier services)
  • Force majeure events including natural disasters, government-declared emergencies, or system-wide outages
  • Identity fraud or unauthorized use of a client's information if submitted by a third party without the client's knowledge

No Warranty

EAssist PH's services are provided on an "as-is" and "as-available" basis. We make no warranties, express or implied, regarding the timeliness, completeness, or outcome of government transactions processed on your behalf.

Indemnification

By using EAssist PH's services, the client agrees to indemnify and hold harmless EAssist PH, its operators, staff, and affiliates from any claims, damages, or expenses (including legal fees) arising from: (a) the client's provision of inaccurate or fraudulent information, (b) the client's violation of these terms, or (c) the client's breach of applicable laws.

Section 07

User Agreements

By submitting a request and completing payment on EAssist PH, you expressly agree to the following:

Accuracy of Information

You represent that all personal information submitted through our booking form is true, accurate, current, and complete. You acknowledge that EAssist PH relies entirely on this information to process your request, and that any error or falsity is your sole responsibility.

Age & Eligibility

You confirm that you are at least 18 years of age or that you are a legal guardian submitting on behalf of a minor. Users below 18 must have parental or guardian consent.

Authorized Use

You agree to use EAssist PH's services only for legitimate, lawful government transactions. Using our service to submit fraudulent, falsified, or unauthorized government requests is strictly prohibited and may result in immediate termination of service and referral to appropriate authorities.

Communication Consent

You consent to receive transactional communications (appointment confirmations, status updates, etc.) via email and/or mobile number as provided in your booking form. We do not send unsolicited marketing without your opt-in.

No Re-sale of Services

You agree not to re-sell, sublicense, or commercially exploit EAssist PH's services without prior written authorization from EAssist PH.

Appointment Responsibility

Once your appointment is confirmed, you are responsible for attending on the scheduled date. EAssist PH's obligation is fulfilled upon delivery of the appointment confirmation. No-shows are the client's sole responsibility.

Section 08

Dispute Resolution

Step 1 — Direct Communication (Preferred)

We strongly encourage clients to contact EAssist PH directly to resolve any concerns before escalating. Most issues can be resolved quickly through direct communication:

  • Email: Contact via the form on our website
  • Response Time: Within 24–48 hours on business days

Step 2 — Formal Written Complaint

If the issue is not resolved through initial contact, the client may submit a formal written complaint via email, clearly stating:

  • Reference number and transaction date
  • Nature of the dispute and desired resolution
  • Any supporting documentation (screenshots, receipts, etc.)

EAssist PH will acknowledge the complaint within 3 business days and provide a resolution or update within 15 calendar days.

Step 3 — Mediation

If the dispute cannot be resolved directly, both parties agree to attempt resolution through mediation before pursuing legal action. Mediation shall be conducted in good faith by a mutually agreed-upon mediator or through a recognized Philippine mediation body.

Step 4 — Legal Action

If mediation fails, disputes shall be resolved through the courts of the Republic of the Philippines. The venue of any legal action shall be in the courts of proper jurisdiction in the Philippines, and Philippine law shall govern these terms.

Disputes with government agencies (e.g., NBI refusing to issue clearance, PSA document errors) are entirely separate matters between the client and the government agency concerned. EAssist PH can assist in providing documentation of the transaction but is not a party to government agency disputes.

Chargebacks

Initiating a payment chargeback without first contacting EAssist PH is considered a breach of this agreement. We reserve the right to contest any chargeback filed without prior notice, and to suspend service to clients with unresolved chargebacks.

Section 09

Terms & Conditions

Acceptance of Terms

By accessing EAssist PH's website, submitting a booking form, or completing payment, you confirm that you have read, understood, and agree to be bound by these Terms and Conditions in their entirety. If you do not agree, please do not use our services.

Service Availability

EAssist PH operates online and is available 24/7 for form submissions. However, processing is conducted during business hours (Monday–Saturday, 8:00 AM – 8:00 PM Philippine Time). Requests submitted on Sundays and Philippine public holidays will be processed on the next business day.

Timelines are estimates only and may vary based on government portal availability, slot demand, and courier operations.

Modifications to Services & Pricing

EAssist PH reserves the right to modify, update, or discontinue any service and its corresponding pricing at any time without prior notice. Prices displayed on the website at the time of booking are the prices that apply to that transaction.

Intellectual Property

All content on the EAssist PH website — including text, graphics, logos, and software — is the property of EAssist PH and is protected under applicable intellectual property laws. Unauthorized reproduction or use is prohibited.

Prohibited Conduct

  • Submitting false, misleading, or fraudulent information
  • Using EAssist PH to facilitate identity theft or document fraud
  • Attempting to gain unauthorized access to our systems
  • Reverse engineering, scraping, or copying our platform
  • Harassing or threatening EAssist PH staff

Governing Law

These Terms and Conditions are governed by and construed in accordance with the laws of the Republic of the Philippines, including but not limited to the Consumer Act, the Data Privacy Act of 2012, and the Electronic Commerce Act of 2000.

Changes to These Terms

EAssist PH reserves the right to update these terms at any time. Continued use of our services after changes have been posted constitutes acceptance of the revised terms. We recommend checking this page periodically.

By completing a booking with EAssist PH, you confirm that you have read, understood, and agreed to all policies stated on this page. These terms are effective as of the date of your transaction.
